Position Summary

Under the direction of the President/Chief Operating Officer, the Controller is responsible for the overall administration of the Finance department and all financial processes.

Qualifications

Education:  The knowledge, skills and abilities typically acquired through the completion of a Bachelor of Science Degree in Accounting.

  4. Prepare Financial Statements and Analysis.  Publish complete and accurate sets of financial statements by the 20th of the following month.  Present financial results to leadership team and at quarterly company meetings.  Prepare and administer annual financial plan.
  5. Safeguard Company Assets.  Ensure that financial processes maintain the proper levels of control and segregation of duties.  Prepare general ledger and bank reconciliations by the end of the following period.  Maintain A/R > 90 days under 10% of total A/R.  Ensure that physical inventories are properly taken and in accordance with schedule.   
  6. Manage Audits.  Prepare for external audits.  Ensure compliance with audited regulations (GAAP, sales tax, union reporting, insurance).  Complete or review all sales tax and payroll tax returns.  Make all tax payments in a timely and accurate manner.
  7. Participate in the development and implementation of Company best practices.

  2. Project Documentation.  Organize and maintain all required job documentation in accordance with Company standards including assisting with job files, contracts, change orders, equipment submittals, RFI’s, equipment manuals and close out documents. Updating ongoing spreadsheets and job lists in accordance to divisional standards and requests.     
  3. Project Management Assistance.  Acquire all necessary permits, bonds, licenses and registrations per project managers requests.  Arrange and documents results for all necessary job inspections. Record and update service results in accordance with Company standards. Prepare project documentation for change orders as directed by project manager. Assist in the procurement, distribution and monitoring of purchase orders and subcontracts as needed.
  4. Service Support. Generate service tickets as requested. Dispatch work orders to field/dispatcher for scheduling. Update and maintain work order lists in coordination with service tickets. Collect completed service tickets from field to prepare for billing. Run monthly work order reports for project manager.
  5. Project Financials.  Coordinate with project managers and finance department in preparing work order and project billing worksheets for multiple jobs and departments in accordance with customer preferences and deadlines. Generate job Work In Progress (WIP) reports on monthly basis to project manager.
  6. General Support.  Support the Division’s with documents scanning and archiving. Troubleshooting and investigate inquiries regarding, financial, service and job-related tasks. Maintaining a positive and approachable demeanor while providing support to the Company when needed.
  7. Participate in the development and implementation of Company best practices.

Working Conditions

This is a full-time exempt position. Business hours are between 7:00am to 5:00pm. Work to be performed in an office setting.

Position Summary

Under the direction of the Division Vice President, the Industrial Sales Engineer is responsible for acquiring new accounts and/or projects in accordance with Company sales and profit objectives and maintaining relationships with existing customers.

Turn Oversand Project Preparation.  Prepare initial project documentation for “turning over” project to operations.   Assist engineering/design/CAD in preparation of project drawings.  Participate fully in “turn over” process to ensure that operations has a complete understanding of the project and contract.     
  4. Project Management.  Manage contracts to estimate and construction schedule.  Establish project metrics and report progress against metrics to Company management.  Ensure that all assigned projects meet the Company’s and customer’s quality and safety expectations.  Acquire all necessary permits, bonds, licenses and registrations.  Arrange for all necessary job inspections.  Document inspection activities and results.  Coordinate job labor with Superintendents.   Clearly communicate expectations regarding installation methods, equipment delivery and job schedules to Superintendents and foremen.  Purchase necessary equipment/material.  Coordinate delivery of equipment/material to project.  Contract and schedule subcontractors for projects.  Ensure that subcontractors are meeting Company standards of performance, quality, schedule and safety.  Represent Company at all construction/coordination meetings as required by the customer. 
  5. Change Orders.  Identify, prepare, obtain pricing, negotiate and track change orders.  Ensure that field personnel clearly understand what constitutes “out of scope” work for each project and how to communicate such requests to project management.  Enter change orders into the accounting system.
  6. Participate in development and implementation of Company best practices.
  7. Participate in post mortem reviews of projects as requested.

  3. Project Management.   6. Coordinate activities among Total Mechanical divisions on multi-division projects, typically smaller and more apparent in nature. Assume lead role when assigned. 
  7. Arrange and lead post mortem meetings with Estimating for all jobs that complete outside of normal guidelines.
  8. Change Orders. Tool Room/Warehouse Attendant

 As a Tool Room/Warehouse Attendant, you responsible for assisting with the maintenance and storage of the Company’s tools, warehouse equipment and materials.  Some of the key activities that you will perform in this role are:

  • Inventory.  Safeguard Company’s tool and stored materials inventory.  Monitor tool possession and use through the tool management program.   Small tool assembly and repair.  Assist with keeping materials organized and accessible.  Keep inventory area clean and accessible.
  • Tool Delivery/Charges.  Assist with the coordination of tool delivery or transfer with material/ equipment deliveries.  Assist with maintaining the system of charging tool rental to GMP projects.
  • Shipping/Receiving.  Assist with the receipt of materials, tools equipment and supplies; unpacking, examining and routing incoming shipments.  Assist with returning damaged items, recording shortages, and corresponding with shipper to rectify damages and shortages. 
  • Truck Activity.  Assist with loading and unloading of all work vehicles.  Periodically assist in taking truck material and tool inventories.  Assist in the maintenance of warehouse vehicles.  Small truck deliveries.

Gain a thorough understanding of assigned projects.  Review project specifications, proposal, addendums, engineering drawings and all other information pertinent to the project.  Meet with customers or visit job site to verify specifications.  Gain thorough understanding of the equipment used on the project and effectively incorporate that equipment into the design.
  2. Design Project. Develop detailed design drawings utilizing computer-assisted drafting (CAD) equipment.  Evaluate designs for code compliance, appearance, safety, function, budget, and production costs.  Recommend design improvements.  Identify to owners, opportunities to add value to projects.  Maintain specified design schedule.  Perform all necessary calculations.  Determine performance standards and material selection based on required calculations.  Attend job coordination meetings as requested.
  3. Project Documentation. Maintain the documentation for all job coordination issues.  Provide other project information/documentation as requested.  Provide information to complete permit/plan review.  Generate record drawings, “cut sheets”, shop drawings, and fabrication drawings.  Archive drawings (approved plans, pertinent architectural plans, civil plans) in electronic format.
  4. Maintain CAD System. Maintain/update CAD system to ensure maximum efficiency/accuracy is achieved.
  5. Participate in the development and implementation of Company best practices.

 

Key Performance Factors

A successful Designer creates accurate, detailed installation drawings that meet the specifications of the project in the most cost-effective manner possible; and keeps projects on schedule by providing drawings in a timely manner.

 

Designer Career Progression

Intern → Associate Designer → Designer → Senior Designer → Design Manager

 

A Designer becomes eligible for promotion to Senior Designer when able to demonstrate consistent, reliable successful performance of their defined duties, when able to perform Senior Designer duties for large-size projects with little supervision and upon successful completion of the Senior Designer training program.

 

Working Conditions

This is a full-time exempt position.  Business hours are between 7:00am to 5:00pm.
